Checking-Out With Hall Staff Is Required!

All students leaving on-campus housing are required to check out of their room with hall staff before leaving campus. This involves staff checking your room for cleanliness and damages, and you signing paperwork and turning-in your key. Failure to properly check out will result in charges to your student account, which may include an improper check-out fee and room rekey fee.

Only Eligible Students May Move Off Campus

IMPORTANT: Before leaving the residence halls it is important to know that the 2-year live on campus housing requirement is enforced. See housing exemptions and commuter policies for a list of exemptions to the 2-year requirement. Exemptions to the policy are also clearly explained in our housing contract.

READ BEFORE SIGNING AN OFF-CAMPUS LEASE: The majority of student requests for a special exemption to the 2-year live on campus housing requirement are denied. Unfortunately, some of our freshmen and sophomores enter into lease agreements with off-campus landlords without first receiving approval for exemption from the 2-year requirement. If they later apply for an exemption and their request is denied, they end up paying for BOTH an off-campus apartment AND an on-campus room. Additionally, their university records could be put on hold. We caution students not to place themselves in such situations. 

APPROVED MOVE OUTS: If you do meet the exemption requirements, or if you are a freshman/sophomore who has been granted an exemption by Residence Life, you must follow the below "Check-Out Procedures" section for details on formally checking-out of your room.

CHECK-OUT STEPS: During Semester

Check-out

  • By the time of your check out you will need to have the following completed:
    • All personal belongings removed.
    • All University property is back to its original order and location.
    • Room must be cleaned, this includes sweeping and mopping.
    • The refrigerator must be defrosted and cleaned. Do not use any object to remove the frost/ice, this will cause a puncture of the unit and you being held responsible for the cost. After the refrigerator has been defrosted and cleaned; shut the door, plug it back in and leave it on the number 3 setting.
    • Remove all items from the walls, floor, and door (including marks from sticky tape residue, scuffs, etc...).
    • Unlofting your bed: Beds that are lofted may need to be unlofted. If the student moving-into the bed space you are vacating wishes to keep the bed lofted, then you may keep it lofted. If you have purchased bed lofting services, you are not required to unloft the bed. See the "Lofted Beds" section at the end of this page for unlofting details.
    • An RA's job is to check to ensure that you have cleaned your room and to catalog any damages. Please be finished cleaning before asking a staff member to look at your room. If they find cleanliness issues, they will have you address them, then they will need to recheck your room.
    • The RA will require that you sign your Room Condition Report paperwork.
    • The RA will take your key(s) and lock your room upon completion of the check out.

Withdrawing from the University?

To ensure that your hall door access continues until you are moved out, follow the steps above to check out of your room first, then see below to formally withdraw from the university:

Visit the Withdrawal Web Page to formally withdraw from the university. After submitting your formal withdrawal, the Registrar's Office will provide you with a list of formal steps that you should follow and offices to contact to ensure that your withdrawal is handled correctly. If you do not check out of your room before formally withdrawing, you will be required to move out within 48 hours of withdrawing.

CHECK-OUT STEPS: End of Fall Semester (December)

Are you living on-campus next Spring? Fall on campus residents returning to live on campus for Spring semester do not check out of their room over J-term/winter break. You will not have access to your hall and room over J-term unless you are approved for J-term housing. If you have an open bed in your room, keep that side of the room clean to receive a roommate for Spring semester.

Check Out Dates: As we prepare for the end of each academic semester, we also prepare for those students who will move out of the residence halls upon conclusion of that semester. All students moving out of the residence halls must do so by the listed hall closing day and time noted on our Important Dates web page.

RA Meetings: Residents will be informed of everything they need to do to move out of their rooms at a wing meeting with their Resident Assistant, which will happen near the end of the fall semester. Students must attend these meetings so they are aware of all the required check-out procedures. Checking out of your room properly will allow you to avoid incurring improper check out and room rekey charges.

Questions? If students have questions regarding how to properly check out of their residence hall room, they should contact their Resident Assistant or Hall Manager.

There will be no exceptions. Spring students will move to their summer assignment on the dates noted on the Important Dates web page.

    • Go to the Front Desk for your hall. An assigned RA or staff member will be available to inspect your room, officially check you out, and receive your key(s).
    • An RA's job is to check to ensure that you have cleaned your room and to catalog any damages. Please be finished cleaning before asking a staff member to look at your room. If they find cleanliness issues, they will have you address them, then they will need to recheck your room.
    • The RA will require that you sign your Room Condition Report paperwork.
    • The RA will take your key(s) and lock your room upon completion of the check out.

Lofted Beds

If your room has wooden loft beds, you can use a mallet to help disassemble them (check out from front desk). If you lofted your bed, you are required to take it down, unless specified differently in the above "CHECK-OUT STEPS" instructions for the semester you are moving out. Set up the room up as follows: beds must be at the lowest loft level, mattress must be on the lowest setting, and extra loft bed ends should be in the closet (except for SFS, where the ends should be on the bed). Failure to comply with this policy will result in a $20.00 charge.

Damages

If anything is broken or missing at the time of check out, you may be charged to have it fixed or replaced. Staff will use the Room Condition Report from the beginning of the year to compare the condition of the room. Any and all damages that weren’t specified on the Room Condition Report when you moved in, other than normal wear and tear, will be recorded and charged to you. If it is not known. or cannot be resolved which roommate(s) is responsible, then the charges will be equally divided between roommates.

Damage Billing: For during semester check outs, damages will be charged to your university eSIS account immediately after check-out. For end of semester check-outs, those charges will be submitted within a few weeks after you have checked out.

Housing Deposits

If you are eligible to live off campus and have completed the full duration of your housing contract (or are graduating), then you will receive a refund of your housing deposit. If you do not meet this criteria, then your housing deposit will be forfeited.

Update Your Mailing Address in eSIS

After you leave campus housing, your mail that the Department of Residence Life receives will be sent to your MAILING address as listed in the eSIS system.  Only first class mail and subscriptions are forwarded to your MAILING address, and only for a specified period of time. It is your responsibility to notify those sending mail to you (banks, credit card companies, etc...) regarding your change of address. If this address is not correct, or is not where you wish to have your mail sent, you must log-in and change the mailing address in the campus eSIS system.

Meal Plan Cancellation

If you are on a meal plan and wish to cancel, it is your responsibility to contact the UWRF Dining Services Office.  A Meal Plan Cancellation Form may be found on the Dining Services web page. Should you wish to remain on the meal plan, we are more than happy to serve you through our campus dining services.  Please direct dining service questions to diningservices@uwrf.edu.
